Talkniva is a product of CCAMPELO TECH LTDA, a company incorporated in Brazil. This Privacy Policy explains, in plain language, what information we collect when you use Talkniva, how we handle it, and the choices and rights you have. It covers our website at https://www.talkniva.com/en and the Talkniva service.

Who we are

Talkniva is a real-time, browser-based voice and video translator for business calls. One person (the host) creates a room and shares a link; one or more guests can join by that link — no account, nothing to install. Each participant speaks and listens in their own language live, with on-screen captions for both sides.

The company behind Talkniva, and the party responsible for your data (the controller), is CCAMPELO TECH LTDA. You can reach us through the message icon in the bottom-right corner of any page on https://www.talkniva.com/en.

The short version: our privacy promise

The most important things to know, up front:

  • We do not record or store your calls. Not the audio, not the video.
  • We do not store transcripts or what is said. Captions are generated live, shown on screen only, and are not saved by Talkniva.
  • Your speech is translated in real time and then it’s gone. Call audio is processed only to produce the live translation; we don’t keep it after the call.
  • We do not sell your personal data.
  • We do not use your conversations to train AI models.

The rest of this policy fills in the details, but those points don’t change.

What data we collect

We try to collect only what we actually need to run the service.

  • Account: your email (required); your password, stored only as a salted scrypt hash — we never store or see the plaintext; an optional display name; your interface language/locale; and account timestamps.
  • Waitlist: if you join the waitlist before access opens, your email and, optionally, a language you asked about.
  • Billing: for prepaid guest-hour purchases — how many guest-hours or guest-minutes you bought, the amount, the currency, and a reference from the payment processor. Your card and payment details are entered with our PCI-compliant payment processor and never touch Talkniva’s servers.
  • Room and usage metadata: a room identifier, the languages chosen, status, guest participation, active guest time billed, and timestamps. We use this to run the call and to bill guest-hours.
  • Support: when you message us through the on-site widget, your messages and any contact details you include.
  • Technical and analytics: cookieless, aggregate web analytics (no cross-site tracking); product analytics and, on the marketing site only, session replay, enabled only with your consent and never during calls or inside the private app; privacy-scoped technical error and crash monitoring; and standard server logs.

How your conversations are handled

This is the part people most want to understand, so here it is step by step.

When you’re in a call, your speech is streamed in real time through our real-time media infrastructure to our AI speech-translation provider. The provider returns translated audio and captions in real time, which the other participants hear and see. That’s it — it’s transient, in-transit processing whose only purpose is to produce the live translation.

What this means in practice:

  • The audio and video of your call are not recorded or stored by Talkniva.
  • Captions are generated live and shown on screen only. Talkniva does not save them.
  • After the call ends, the call audio is not retained.
  • What we do keep is the room metadata described above (things like the room ID, mode, languages, guest participation, and active guest time billed) — not the content of your conversation.

How we use your data

We use the information we collect to:

  • Run the service — set up rooms, connect the host and guests, and deliver live translation and captions.
  • Bill guest-hours — track and charge prepaid guest-hours based on active guest time in the calls you make.
  • Provide support — answer your messages and resolve issues.
  • Keep things secure — protect accounts and the service against abuse and fraud.
  • Meet legal obligations — for example, keeping billing records as required by Brazilian law.

Legal bases for processing

Under the LGPD (art. 7), every use of your personal data rests on a legal basis. Here is how our purposes map to those bases:

  • Performance of a contract. Creating and running rooms, connecting participants, delivering live translation and captions, managing your account, and charging prepaid guest-hours based on active guest time are all necessary to provide the service you signed up for.
  • Compliance with a legal obligation. Keeping billing and financial records for the period required by Brazilian tax and commercial law is processing we carry out to meet our legal duties.
  • Legitimate interests. Protecting accounts and the service against abuse and fraud, keeping the service secure, measuring usage through cookieless, aggregate analytics, and monitoring errors and crashes to keep the service stable rest on our legitimate interests, weighed against your rights and freedoms.
  • Consent. Product analytics and session replay on the marketing site are enabled only if you accept in the cookie banner. You can refuse or withdraw that consent at any time, without affecting your use of the service.

Except for product analytics and session replay, which rely on your consent, we do not rely on consent as a basis for the processing described above. You can withdraw consent at any time through the cookie banner, without affecting your use of the service.

Who we share data with

We don’t sell your personal data, and we don’t share it for advertising. We do rely on a small set of trusted service providers (subprocessors) that process data on our behalf, only to make Talkniva work. By category of service:

  • Hosting and usage analytics for the website — the analytics are aggregate and cookieless.
  • Managed database — stores account, billing, and room-metadata records.
  • Real-time media infrastructure — carries the call’s audio/video and runs the translation agent.
  • AI speech-translation provider — processes call audio in transit to generate the translation and captions; does not use your conversations to train models.
  • Payment processing — a PCI-compliant partner that holds your card data and gives Talkniva only non-card references.
  • Transactional email delivery — for example, password resets, waitlist messages, and receipts.
  • Support and messaging — the on-site message/contact widget.
  • Product analytics and, on the marketing site only, session replay — enabled only with your consent and never during calls or inside the private app.
  • Error and crash monitoring — to keep the service stable and secure.

We work with established providers under contractual data-protection commitments. If you’d like the specific names of our subprocessors, just ask through the message icon on the site and we’ll share the current list.

We may also disclose data if required by law or to protect our rights, but we keep that to what’s necessary.

Where your data is processed

CCAMPELO TECH LTDA, the company behind Talkniva, is incorporated in Brazil, but all of Talkniva’s operations — the processing and storage of your data — run on servers in the United States, where our infrastructure providers are located. Because the controller is a Brazilian company, the LGPD applies to the processing of your data.

This means an international transfer of data, from Brazil to the United States, carried out in accordance with the LGPD’s rules on international data transfers (Chapter V, art. 33): we work with established providers and rely on adequate safeguards and contractual commitments with them, so your data stays protected wherever it’s handled. We don’t claim any specific certification beyond what’s described in this policy.

How long we keep data

  • Account, room-metadata, and billing records: kept while your account is active, and for as long as Brazilian tax and commercial law requires. Financial and billing records are typically retained for about 5 years.
  • Waitlist email: kept until access opens or until you ask to be removed.
  • Support messages: kept as long as needed to provide support.
  • Call audio, video, and transcripts: not stored at all.

You can request deletion of your account and data through the contact widget. We’ll honor that, subject to any legal retention duties (such as keeping billing records for the period the law requires).

Your rights

We’re based in Brazil, and the LGPD (Lei Geral de Proteção de Dados, Law No. 13.709/2018) is the main law that protects your data. The Brazilian Consumer Protection Code (CDC) also applies to consumers. If you’re in a region covered by the GDPR or CCPA, we honor the substance of those rights too, where applicable.

Under the LGPD (art. 18), you can ask us to:

  • Confirm that we process your data, and access it.
  • Correct data that’s incomplete, inaccurate, or out of date.
  • Anonymize, block, or delete data that is unnecessary or excessive.
  • Receive your data in a portable form.
  • Know who we share your data with.
  • Where any processing is based on your consent, delete the data processed under that consent and withdraw the consent.

To exercise any of these, message us through the message icon in the bottom-right corner of the site. We may need to confirm your identity before acting on a request.

If you’re not satisfied with how we handle a request, you also have the right to petition or lodge a complaint with Brazil’s data protection authority, the Autoridade Nacional de Proteção de Dados (ANPD).

Cookies and sessions

We keep cookies to a minimum and ask for your consent for anything that isn’t essential.

  • Essential (no consent needed). A strictly-necessary session cookie (httpOnly) keeps you signed in while you’re using the app. Our usage measurement is aggregate and cookieless.
  • Analytics (consent only). If you accept in the cookie banner, we record how the public marketing site is used (the page funnel) to help us improve the product. Until you decide, nothing is collected; if you decline, nothing is enabled; and you can change your mind at any time.
  • No product tracking inside rooms or the private app. Rooms, the app dashboard, admin, billing, login, and signup do not load product analytics, session replay, support beacons, or cookie-consent banners. We keep technical error monitoring only so we can fix application failures.
  • No advertising, no cross-site tracking. We don’t use ad cookies or trackers that follow you across other sites.

Security

We take reasonable steps to protect your data:

  • Data is transmitted over HTTPS/TLS.
  • Passwords are stored hashed with scrypt, never in plaintext.
  • Access to our systems is limited.

No service can promise perfect security, and we don’t claim certifications or protections beyond what’s described here.

Children and minors

Talkniva is not directed to minors. You must be at least 18 years old to create an account.

Changes to this policy

We may update this policy from time to time. When we make material changes, we’ll reflect them by updating the “Last updated” date at the top. Please check back now and then.

That’s the way to reach the controller, CCAMPELO TECH LTDA, and it’s the channel we use for all contact. There’s no separate email or phone line to publish — the message icon is the place.

Data-protection and data-subject matters — the channel that handles requests of the kind a data protection officer (encarregado) would receive under the LGPD — are also handled by CCAMPELO TECH LTDA through that same message icon.
